Board Minutes – February 24, 2010

Nautica Isles West Clubhouse 7:17p.m.

1.Call meeting to order 7:05p.m. and determination of quorum

  • President – Art Heron
  • Vice President – Jennifer McGhee
  • Treasurer – Suzan Leventhal-Bignell

2. Officer Warren

    i. Combat Auto Theft

  • Most auto burglaries happen to autos that are left unlocked by Homeowners

    ii. February Stats:

  • Property Damages, one burglary and 10 False Alarms

3. January Minutes approved.

4. Code Access and Reprogramming Remotes

  • Remotes were reprogrammed to help secure the community from previous residents and/or guests. The reprogramming went very well and generated additional income that was past due to NIWHOA.
  • Art is getting bids for card readers for the clubhouse and pool areas. Should have proposals for the March meeting.
  • The board is looking into purchasing cameras for the front gates, proposals will be gathered, and this issue will be revisited upon receiving proposals.

5. Cable and Alarms Contracts

    i. Officer Warren

  • They will let us out of contract as long as we allow direct marketing to our homeowners. This change will reduce HOA fees but will increase the homeowner would have to pay to have Comcast individually.

    ii. The contract for the Alarm Company is scheduled to be up in 2013, the board has requested a 25% reduction in billing or terminate the contract.

6. Application Process for all New Homeowners and Tenants

  • All applicants will need to have a National Criminal Background Check in order to move into NIW.
  • Jennifer has devised a plan of action to be instituted immediately for each occupant over the age of 18 years.
  • Motion by Suzan to approve application process; all board members present in favor.

7. NIW Foreclosures for Overdue HOA Fees

  • NIW can legally foreclose on homes at NIW for homeowners who owe past due HOA Fees. Foreclosing will cost NIW $2,000-$3,000 in legal expenses.
  • Motion by Suzan to move forward on legally foreclosing on homes using Jay Levine; all board members present in favor.

8. Deferred Landscaping Bid

  • The board would like to have the common areas refreshed with mulch. The cost for this item is $7,300.
  • Motion by Suzan to have the mulch placed on the community common grounds; all board members present in favor.

9. Exercise Equipment Contract

  • The yearly contract is up with Fitness Headquarters, they do monthly maintenance on gym equipment.
  • Motion by Suzan to renew contract; all board members present in favor

10.Old or New Business

  • Board has addressed the issue of homeowners and residents being rude to security as well as the office staff. The board will take further action after these types of incidents are reported.
  • Proposed that HOA install a censored security light installed to light up pavilion to avoid teens hanging out there after community grounds have been closed for the evening.
